How to Set Up Clover POS for Your Restaurant: A Step-by-Step Guide

Clover POS is built for restaurants — countertop terminals, handheld ordering, kitchen displays, and a full app market behind it all. But the difference between a smooth launch and a chaotic opening week is in the setup. Whether you chose Clover Station for a full-service dining room or Clover Flex for tableside payments, here's how to get your Clover POS ready for service.

Before you start: what you'll need

Have these on hand before you unbox:

  • Your Clover merchant account (created when you purchased your system through your provider)
  • Your business details: legal name, address, bank account for deposits
  • Reliable Wi-Fi — Clover recommends WPA or WPA2 security for PCI compliance
  • Your Clover hardware: device, power cables, receipt printer, cash drawer, kitchen display (optional)

Step 1: Power up and connect to the internet

Place your device on the counter, connect power, and turn it on. The first thing the setup wizard asks for is your language and network connection — join your restaurant's Wi-Fi (or plug in Ethernet on Clover Station). A stable connection matters: Clover syncs everything — items, orders, reports — through the cloud.

Step 2: Activate your device with the activation code

When your device connects to the internet for the first time, Clover sends an email from Clover Support with the subject line "Clover Activation Code". The 8-digit code is unique to each device — if you ordered several, match each code to the right serial number (found on the activation screen). You can also find the code at the top of your Web Dashboard at www.clover.com/home. Enter the 8-digit code on the touchscreen and the device will reboot a few times while Clover updates its operating system. This is normal.

Step 3: Set your admin passcode and let apps install

If this is your first Clover device, you'll be asked to create an Admin Passcode (4 or 6 digits). This is your master key to the device — choose something secure. After that, Clover installs its core apps automatically: Register, Orders, Inventory, Employees, and Reporting. Wait for installation to finish before continuing.

Step 4: Build your inventory (your menu)

Open the Inventory app and add every menu item: name, price, category (appetizers, mains, drinks, desserts), and photos if you want a visual menu on screen. Add modifiers for the options your staff actually punch in — extra cheese, cooking temperature, dressing on the side. For restaurants with stock management, set quantities so low-stock alerts work from day one. A clean, well-organized menu is what keeps checkout fast during a Friday rush.

Step 5: Configure taxes and discounts

Go to Setup > Taxes on the Clover Dashboard and add your local tax rates (GST/HST for Canadian restaurants). You can set taxes to be included in item prices or added at checkout, and apply different rates to different item categories if needed. Then set up your standing discounts — staff meals, senior discounts, happy hour pricing — so your team applies them consistently instead of inventing them on the fly.

Step 6: Add employees and assign roles

Open the Employees app and create a profile for each team member. Assign roles with the right permissions: servers get order and payment access, bartenders get bar tabs, managers get refunds and reports. Each employee gets a personal PIN to clock in and out — every sale, void, and discount is tracked to a person. This is one of the simplest fraud-prevention steps you can take.

Step 7: Set up payments, tipping, and receipts

Decide how tips work before your first service: suggested tip percentages on screen, custom tip amounts, or automatic gratuity for large parties — Clover lets you configure all of these. Enable the payment types you'll accept: EMV chip, contactless (Apple Pay, Google Pay), gift cards, and cash. Choose whether tips and signatures are captured on the tablet screen or printed, and customize your receipt header with your restaurant's name and a return policy.

Step 8: Connect peripherals

Pair your receipt printer, cash drawer, and — for restaurants — a kitchen display or order printer. Most Clover peripherals connect over Wi-Fi or Ethernet; USB options are available for countertop setups. In the device settings, assign which printer receives kitchen tickets versus bar tickets. Nothing slows a dinner service like tickets printing at the wrong station.

Step 9: Run test transactions

Before opening day, run a full dress rehearsal: a standard card payment, a cash payment with change, a tip adjustment, a split bill, and a refund. Verify that kitchen and bar tickets fire to the right stations and that receipts print correctly. Check your Reporting app afterward to confirm sales, taxes, and tips all landed where they should.

Common setup mistakes to avoid

  • One shared employee PIN. Without individual logins, you can't trace voids, discounts, or cash drawer activity.
  • Skipping the activation email. Check your spam folder for "Clover Activation Code" before calling support — it's almost always there.
  • Default receipt and tip settings. Take five minutes to customize them; customers notice.
  • Not testing refunds. Learn the refund flow on a test sale, not during a customer dispute.
